1. Scope
This policy explains how SeatedX handles personal information. It covers two groups of people:
- Agents and advisors (“clients”) who visit seatedx.com, book a call with us or buy appointments.
- Consumers (“prospects”) who respond to our retirement-income education and advertising and ask to speak with a licensed professional.

2. Information we collect
Information you give us
- Clients: name, business name, email, phone number, licensing and production details, states served, calendar availability and booking preferences.
- Prospects: name, email, phone number, state, age range, approximate investable or rollover assets, retirement timeline and answers to our qualification questions.
- Billing: details needed to invoice you and record payments. Card or bank details are handled by our payment processor; we do not store full card numbers.
- Agreements: signed service agreements and related records.
Information collected automatically
- Device and browser details, IP address and approximate location, pages viewed, referring links and ad-click identifiers.
- Form progress and consent records, including the date, time and wording shown when consent was given.
3. How we use it
- To qualify prospects against our criteria and book appointments with suitable clients.
- To run, maintain and improve our website and services.
- To confirm, remind and reschedule appointments.
- To review appointment outcomes, decide whether an appointment is billable and handle disputes.
- To invoice clients and keep accounting records.
- To measure and improve our advertising.

We do not sell prospect information as lead lists. A prospect’s details are shared only with the client who receives that prospect’s appointment.
4. Calls, recordings and notes
Calls between our team and prospects, and appointments we host or monitor, may be recorded, transcribed and summarised, including with automated tools. We do this for qualification, quality assurance, billing decisions, dispute review, compliance and training. The recording of a prospect’s setter call is shared with the agent or advisor assigned to that prospect’s appointment. Where the law requires it, we tell participants that a call is being recorded and get their consent.
5. Text messages and consent
- We only call, text or email prospects who have opted in to be contacted about their enquiry. We keep a record of that consent.
- Consent to receive texts is never a condition of buying anything.
- Message frequency varies. Message and data rates may apply.
- Reply STOP to opt out of texts at any time, or HELP for help. You can also opt out by emailing hello@seatedx.com.
- We do not share mobile numbers or text-message opt-in data with third parties for their own marketing. We share them only with service providers that send messages on our behalf.
6. Who we share it with
- The client assigned to the appointment. They receive the prospect’s details and qualification answers so the appointment can take place.
- Service providers that help us run the business, such as CRM and scheduling, calling and messaging, video meetings, payment processing, email, hosting and analytics. They may only use the information to provide services to us. [List current vendors]
